The office, and the cab,
on the same page.
Here's exactly what Rubber Duck does, area by area — what you do in the office and what your drivers see on their phone.
Jobs
Every collection and delivery in one clear list, from ready to assign through to delivered.
In the office
- Add the reference, customer and contact, collection and delivery addresses with times, plus instructions and load details.
- Save as a draft, mark it ready to assign, then give it to a driver and vehicle.
- Status moves as the job runs: assigned, in progress, completed, or cancelled.
- Filter by status and search by reference or customer when you need one job fast.
On the driver's phone
- Home shows the next job with collection and delivery towns, times and the reference.
- Open the job for the full instructions and get directions from there.
- Mark it started and mark it delivered — the office sees it straight away.
Drivers
One record per driver, with the dates you have to keep an eye on.
In the office
- Keep phone, email, licence categories and qualification expiry for each driver.
- Set whether they're on duty, off duty or on leave.
- Invite them with a link — they set their own password and accept.
On the driver's phone
- Your name, your company and your job list appear as soon as you accept the invitation.
Vehicles
The fleet, with the dates that decide whether it can go out.
In the office
- Tractor units, rigids, vans and trailers, each with registration and make and model.
- Annual test due date and current status: available, on job or off road.
- Warnings before test dates and documents run out.
Walkaround checks and defects
Daily checks done on the phone, with defects the office can see and sign off.
In the office
- Use the standard 17-point list, or write your own list for each vehicle type.
- See which vehicles have open defects and how serious they are.
- Add a note and sign off a defect once it's been put right.
On the driver's phone
- Go through each item yes or no on the phone before you set off.
- Report a defect with a photo and say whether it's minor or serious.
- You get your company's own list, not a generic one.
Documents and expiry dates
Licences, cards, insurance and delivery notes in one place, with warnings before they lapse.
In the office
- Store driving licences, driver CPC cards, tachograph cards, medicals, annual tests, insurance, operator licences and delivery notes.
- Anything expiring within 30 days is flagged, so nothing lapses by surprise.
- Upload on behalf of a driver, a vehicle or the company.
On the driver's phone
- Upload your licence, CPC card, tachograph card, medical or a signed delivery note from the phone.
- See your own files and their expiry dates.
Messages
Private chat between the office and one driver, not a group group chat.
In the office
- Message a driver privately and see the reply in the same thread.
- Unread messages are counted so nothing gets buried.
On the driver's phone
- Chat back from the Messages tab, with a badge when the office has replied.
Announcements
Say it once, to the right people.
In the office
- Post site changes, safety reminders or policy updates to everyone, drivers only, or office only.
- Pin the important ones to the top.
On the driver's phone
- The Updates tab shows what's new, newest first.
Reports
What actually happened, ready to hand to a customer or an auditor.
In the office
- Pick a period: 7, 30, 90 or 365 days.
- Jobs completed, check pass rate, open defects and things expiring in the next 60 days at a glance.
- Tables for jobs by customer, defects, checks by vehicle and upcoming expiry dates.
- Download any of them as a spreadsheet.
Team and access
Decide who sees what, and take it away when someone leaves.
In the office
- Invite owners, transport managers, office staff and drivers.
- Change a person's office role or remove them; cancel invitations you no longer need.
- Office staff can view, transport managers can remove drivers, owners control everything.
On the driver's phone
No app store, no download to wait for — it goes on the home screen.
In the office
- Nothing to install in the office: it runs in any browser on any computer.
On the driver's phone
- Add Rubber Duck to your home screen from the account page: one tap on Android, a couple of taps on iPhone.
- Five tabs along the bottom: Home, My Jobs, Messages, Updates, More.
- If the company's subscription stops, the app says so instead of showing old data.
Every company is kept separate
Each company has its own workspace: its own jobs, drivers, vehicles, checks, documents and messages, and nobody from another company can see them. If you run more than one company, you can switch between them from the office menu — each one is its own subscription.
£99 a month per company
30-day free trial. A bank card is required to start your subscription, and you won't be charged until the trial ends. Unlimited office users and drivers. Cancel any time.
